Who we are

Aesthetic Office Co. (referred to here as we, us and our) runs the website at aestheticofficeco.com. We are a custom print, signage and manufacturing studio based in Pakistan, shipping worldwide.

This policy explains what personal information we collect, why we collect it, how we look after it, and what choices you have. It covers the website, the quote and enquiry forms on it, and the orders we produce for you. If anything here is unclear, ask us and we will explain it in plain language.

What we collect

We only ask for information we genuinely need in order to quote, produce and deliver your order, and to answer your enquiries.

• Contact and enquiry details. Your name, email address, phone or WhatsApp number, and whatever you tell us about the job when you send a quote request, a custom order enquiry or a wholesale enquiry.
• Order and delivery details. Billing and shipping address, the products and options you chose, quantities, sizes, and any instructions you give us.
• Artwork and files. Logos, designs, images and text you send us so that we can print your order.
• Payment information. Payments are handled by our payment providers. We receive confirmation that a payment succeeded, along with limited details such as the last digits of a card or a transaction reference. Full card numbers are never stored on our website.
• Account details. If you create an account, your username, email address and order history.
• Technical and usage information. IP address, browser and device type, the pages you visited and the page that sent you to us. This is collected through cookies and similar technologies, so that the site works properly and we can see how it is used.

We do not ask for sensitive personal information such as health, religious or biometric data, and we would rather you did not send it to us.

How we use it

• To prepare quotations and reply to your enquiries.
• To process, produce, pack and ship your orders, and to send you proofs for approval.
• To take payment, issue invoices and keep proper accounting records.
• To contact you about an order or a delivery, including when something has gone wrong.
• To handle support requests, returns, reprints and complaints.
• To run, secure and improve the website, and to block fraud and spam.
• To send you marketing messages, but only if you have asked to receive them.
• To meet our legal, tax and accounting obligations.

We do not sell your personal information, and we do not hand it to other companies for their own marketing.

Legal basis

Where data protection law requires us to name a legal basis for using your information, we rely on the following: performing our contract with you, which covers quoting, producing and delivering your order; your consent, which covers marketing messages and non-essential cookies; our legitimate interests in running, securing and improving the business; and compliance with legal obligations such as keeping tax records.

Who we share it with

We share your information only with the parties who help us run the business, and only as far as they need it.

• Couriers and delivery partners. Your name, address and phone number, so that your order can reach you.
• Payment providers. So that your payment can be taken securely.
• Hosting, email and IT providers. Who store and move data on our behalf.
• Production partners. Where a specialist finish or material is made outside our own studio, limited to the files and details needed for that job.
• Analytics providers. In aggregated form, so that we can understand how the site is used.
• Professional advisers and authorities. Where the law requires disclosure, or where we need to establish or defend a legal claim.

Every provider we use is asked to keep your information secure and to use it only for the purpose we agreed with them.

International transfers

We work from Pakistan and ship worldwide, and some of our service providers are based in other countries. Your information may therefore be transferred to and stored in a country other than your own. Wherever that happens, we take reasonable steps to make sure it stays protected to a standard consistent with this policy.

Cookies

Our website uses cookies, which are small files stored on your device. Essential cookies keep your cart and your logged-in session working, and cannot be switched off. Analytics and preference cookies help us measure how the site is used and remember choices such as the options you picked on a product.

You can block or delete cookies in your browser settings. Please note that the cart and the checkout may stop working correctly if you block the essential ones.

How long we keep it

We keep enquiry and quotation records for up to two years, so that we can follow up and honour a price we quoted earlier. Order, invoice and accounting records are kept for as long as tax and company law requires, which is normally at least six years.

Artwork files are kept for up to two years after your most recent order, so that reprints are quick and easy, unless you ask us to delete them sooner. Account information is kept until you ask us to close your account.

Your rights

Depending on where you live, you may have the right to do any of the following.

• Ask for a copy of the personal information we hold about you.
• Ask us to correct anything that is wrong or incomplete.
• Ask us to delete information that we no longer need.
• Object to certain uses of your information, or ask us to restrict them.
• Withdraw your consent to marketing at any time.
• Ask us to transfer your information to another provider, where that is technically possible.

To use any of these rights, email info@aestheticofficeco.com. We will reply within one month. We may need to confirm who you are first, so that we never hand your information to someone else.

Marketing

If you have agreed to hear from us, you can opt out whenever you like, either through the unsubscribe link in any message or by emailing us. Opting out of marketing does not stop the messages that belong to an order you have placed, such as proofs, dispatch notices and delivery updates.

Security

The website is served over an encrypted HTTPS connection, access to customer data is limited to the people who need it, and we keep our systems and software up to date. No method of transmission or storage is ever completely secure, so while we work hard to protect your information we cannot promise absolute security. If a breach affects your information and puts you at risk, we will tell you and the relevant authority as quickly as the law requires.

Children

Our website and our products are intended for adults and for businesses. We do not knowingly collect personal information from children under 16. If you believe a child has given us their details, contact us and we will delete them.

Links to other sites

Our site links out to other places, including WhatsApp, social media and our payment providers. We are not responsible for how those sites handle your information, so it is worth reading their own privacy policies before you use them.

Changes to this policy

We may update this policy as the business, the website or the law changes. The date shown at the top of this page tells you when it was last revised. If a change is significant, we will say so clearly on the website.
